Co parenting planner spreadsheet for separated and divorced parents: shared child expenses with each parent's share and a running who-owes-whom balance, payments between you, the parenting time schedule with a custody calendar and overnight counts, an exchange log, a factual communication log, child info and a dashboard, all in one organised file.
WHAT IT DOES
- Start Here tab: type both parents' names, up to 4 children, your currency symbol and the default split (50/50 or any %). Set a different split for any category you agreed on (for example childcare 60/40), and the schedule start date
- Expenses tab: log the date, child, category (medical, dental, vision, childcare, school, activities, clothing, travel, other, all renamable), description, amount and who paid. Each parent's share and the amount the other parent owes are worked out for you. Type a % on a single row when one item is split differently. Mark receipt kept and reimbursed (Y/N) with the date
- Payments tab: log each payment one parent makes to the other to settle up. The balance updates on the dashboard
- Dashboard: the balance in plain words ("Casey owes Jordan $192.90" in the sample, or "All square"), what each parent paid and their fair share, payments each way, items not yet marked reimbursed, spend by category, by child and by month with a chart, overnights this month and year to date for each parent with percentages, late exchanges and open follow-ups
- Schedule tab: pick a 14-day rotation (alternating weeks, 2-2-3, 2-2-5-5, 3-4-4-3, every other weekend) or type your own, then add overrides for holidays, swaps and trips. Overrides win over the rotation
- Calendar tab: pick a year and month and see who has the children each night, coloured by parent, with the overnights for that month counted
- Exchange Log tab: date, time, who is scheduled that night (filled in from the schedule), who handed over, who received, location, on time (Y/N) and minutes late
- Communication Log tab: date, time, method (text, email, app, call, in person), from, to, subject, a factual summary, follow-up needed and follow-up done. Open follow-ups are flagged
- Child Info tab: doctor, dentist, school, teacher, allergies, medications, activities, sizes and emergency contacts for each child
- Room for 300 expenses, 150 payments, 40 schedule overrides, 200 exchanges and 300 messages. The tabs are protected without a password, so formulas don't get typed over by accident (you can unprotect them any time)
WHAT YOU GET
- Co-Parenting-Spreadsheet.xlsx (blank, ready for your family)
- Co-Parenting-Spreadsheet-with-Sample-Data.xlsx (a filled-in example: a made-up family with 18 shared expenses, 5 payments, a 2-2-5-5 schedule with holiday and swap overrides, exchanges, messages and child info)

HOW YOU GET IT
Digital download. After checkout you get a download page right away, plus a receipt by email. Nothing is shipped.
COMPATIBILITY
- Microsoft Excel 2016 or newer (Windows or Mac) and Excel for the web
- Google Sheets: upload the .xlsx to Google Drive, open it, then File > Save as Google Sheets
- Needs a computer or tablet with a spreadsheet app. This is not an app or a printable planner. It does not connect to a bank or a co-parenting app: you type your expenses, payments and schedule
GOOD FOR
Separated and divorced parents who share the children's costs and time, parents starting a new schedule who want to see the overnights add up, and anyone who wants their expenses, exchanges and messages kept in one organised file they can share with their lawyer or mediator if they choose.
PLEASE NOTE
- This spreadsheet is an organiser for your own records. It is not legal or financial advice and does not replace your parenting plan, court order, agreement or advice from a lawyer or mediator
- The balance and overnight counts come from what you type, so keep the entries accurate and check them before you rely on them
- The dashboard's month and year to date use today's date unless you type a date on the Start Here tab, so they change from day to day
- For your own personal use; please don't resell or share the files
DISCLAIMER
This template is an organiser and record-keeping tool and does not replace advice from a qualified or licensed professional (such as a lawyer, mediator or accountant). Check the results, and the terms of your own parenting plan or agreement, before you rely on them.
HOW IT WAS MADE
Designed by VARS Digital with AI-assisted tools. Every formula is checked before release, and the sample file shows each tab working.
