Project tracker Excel spreadsheet with a Gantt chart, also for Google Sheets, for small businesses, offices, freelancers and small teams running several projects at once: one row per task or phase with dates and % complete, a weekly Gantt timeline, and a dashboard that shows how far along each project is and which ones need attention.
WHAT IT DOES
- Setup tab: type up to 15 projects, each with a lead and an optional budget, and up to 10 people
- Plan tab: one row per task or phase with the project and owner (drop-downs from your lists), start date, end date and % complete. Days, status and days left calculate. Room for 300 rows, with filter buttons on the header
- Status updates by itself: Not started, In progress, Done (100%) or Late (not 100% and the end date has passed). Late rows turn red and done rows turn grey
- Gantt timeline: 26 weekly columns next to each row draw the task as a bar. Light blue shows the planned weeks, dark shows the completed share, red shows the unfinished part of a late task, and this week's column is highlighted
- The timeline starts on the Monday on or before your earliest start date, or on a date you type on the Setup tab
- Dashboard tab: all tasks, % complete, done, in progress, not started, late and due in the next 7 days; for each project the tasks, done, late, % complete, % of time elapsed, start, finish, days left, status and budget; for each person the tasks, done, open, late and due in 7 days; and a chart of % complete against time elapsed by project
- Project status: Late if any task is late, Done when every task is 100%, At risk when % complete is more than 15 points behind the share of time elapsed (you can change the 15), otherwise On track
- The tabs are protected without a password, so formulas don't get typed over by accident (you can unprotect them any time)
WHAT YOU GET
- Project-Tracker.xlsx (blank, ready for your projects)
- Project-Tracker-with-Sample-Data.xlsx (a filled-in example: a made-up small agency with 4 projects, 36 tasks and 4 people, some done, some in progress and two late)
- Quick-start guide (PDF)
HOW YOU GET IT
Digital download. After checkout you get a download page right away, plus a receipt by email. Nothing is shipped.
COMPATIBILITY
- Microsoft Excel 2016 or newer
- LibreOffice Calc (tested)
- Google Sheets: upload the .xlsx to Google Drive, open it, then File > Save as Google Sheets
- Needs a computer or tablet with a spreadsheet app. This is not an app or a printable planner, and it does not send reminders: you type your tasks and progress and open the file to see where things stand
GOOD FOR
Small business owners and office managers juggling a few projects at once, freelancers planning client work, and small teams who want a timeline view and a status per project in Excel without project-management software.
PLEASE NOTE
- % complete is what you type for each task; project and overall % complete are weighted by each task's days, and tasks need a start and an end date to count
- Status, days left, late, due in the next 7 days and the highlighted week use today's date, so they change from day to day
- The Gantt shows 26 weeks (about six months) at a time; move the start date on the Setup tab to see later weeks
- For your own use; please don't resell or share the files
