What to count in an HVAC price

Worked example

With a crew of 2 for 10 hours at $35 an hour, $4,500 in equipment, line set and materials, $250 in permits, disposal and travel, 15% overhead and a 30% margin, the job costs $6,268 and the price comes to $8,954. That is $2,984.52 per ton for 3 tons of capacity, $2,686 profit, and a 42.9% markup on cost.

Margin is not markup

Margin is profit as a share of the price; markup is profit as a share of your cost. A 30% margin needs a 42.9% markup, because the profit is measured against a smaller number. Mixing the two up can leave a busy season with less money than you planned. This calculator asks for the margin you want and shows the matching markup.

Price every job this way, and keep the records

The HVAC Estimate & Job Costing workbook (C$19.00, Excel, also opens in Google Sheets) keeps your rates in one price book, builds a printable client quote, and tracks what each job really cost and made, so your next price is based on your own numbers.

Questions

CAN I USE THIS FOR SERVICE CALLS?

Yes. Set the job size to 1, put the call time in hours and the parts in materials. The result is your flat rate for that call.

HOW DO I HANDLE FINANCING OR WARRANTY COSTS?

Add them to the permits and travel line or to overhead so the price covers them.
